How SSV Installations runs 5–20 projects a week on Fieldstream

The problem

SSV Installations delivers signage and display installs for clients across Australia. Jobs range from a single-day install to multi-week rollouts, with crews on site, materials on order and suppliers billing as the work goes.

The team moved to Fieldstream directly from AroFlo. AroFlo did the job, but it was overly complex: simple tasks took multiple steps, and with no auto-save, project managers regularly lost information they had already entered. The system also felt dated. With several project managers each responsible for their own book of work, the business needed something faster that also showed profit by manager, not just one combined total. They also wanted live communication and conversation tracking inside the system, so the full history of every job was always there.

What changed with Fieldstream

Fieldstream was designed around one rule: get each task done in the fewest possible steps.

• A business unit per project manager. Each manager runs their own unit, and Xero tracking categories match those units, so the business can run Xero reports by manager.
• Purchase orders to bills to Xero. Supplier bills are matched to purchase orders in Fieldstream, then pushed to Xero for payment and reporting.
• Quotes to invoices. Accepted quotes convert to invoices in Fieldstream, which sync to Xero.
• Live conversations, with the history kept. ChatStream messages between the office and crews sit against each job, so the full conversation history stays with the job instead of in text threads and inboxes.
• Crew updates in one place. Tasks, timesheets and photos are recorded against the job as the work happens.
• Client portal. Clients see completion reports and photos without chasing zip files.

The result

Three years on, SSV Installations runs 5–20 projects a week across up to five project managers on Fieldstream. Compared with AroFlo, each project manager saves at least an hour a day on admin, and each manager can see how their jobs are tracking before the job closes, not weeks after.
